Accounts Payable

JOB PURPOSE:

  • To ensure that all properly authorized supplier invoices are processed accurately in a timely fashion.
  • To ensure invoices are within authorized purchase order limits
  • To process weekly cheque run within budget guidelines provided.
  • To process accounts payable month end procedures to ensure accurate transfer and data to the general ledger module.

QUALIFICATIONS & REQUIREMENTS:

  • Strong previous accounting experience essential
  • Attention to detail a must

DUTIES & RESPONSIBILITIES:

  • Open mail daily and match invoices to purchase orders. Each invoice must have an authorized purchase order. Follow-up if required if invoice exceeds PO
  • Check vendor statements to Accounts Payable ensuring that all invoices have been processed
  • Code invoices with General Ledger accounts and post to Accounts Payable
  • Answer all Accounts Payable inquiries
  • Do weekly cheque runs keeping within budget
  • Issue daily reports for daily cheques issued
  • Maintain vendor files, keeping unpaid and paid invoices filed on a regular basis
  • Month-end reporting
  • Photocopy capital project invoices and invoices posted to receivable accounts for subsequent collection
  • Maintain good communication with all suppliers
  • Assist Horseshoe  personnel in adhering to Purchase Order Procedures and Policies as set out by the Accounting Department

Aesthetician - Shizen Spa

Job Purpose:                

  • To perform Aesthetic services as set out in Shizen Standards.
  • To provide all services in a safe, hygienic and professional manner.
  • To always work as a productive team member.

Position Qualifications:          

  • Recognized diploma in Aesthetics. 
  • Strong customer service skills.
  • Ability to work well independently and collaboratively.

Principle Duties:         

  • Perform Aesthetic services as set out in Shizen Menus using brand standards and expectations.
  • Be fully prepared and capable of all Aesthetic menu services.
  • Perform high quality, professional aesthetics services on each and every guest.
  • Work in a consistent manner following treatment procedures and protocol.
  • Maintain a clean, organized and efficient work environment.
  • Maintain products and anticipate inventory needs proactively.
  • Ensure proper sterilization and sanitation of all equipment and products.

Cash Office Assistant

JOB PURPOSE:

  • To collect and balance monies from all revenue generating departments

 QUALIFICATIONS & REQUIREMENTS:

  • General knowledge of the Resort
  • Able to count, sort, and balance large amounts of money
  • Reliability and punctuality are imperative

DUTIES & RESPONSIBILITIES:

  • Collect money daily from Crazy Horse Saloon, cafeteria and snack bar, banquets, Silk’s and Fireside, cross country cafeteria, Heights bar, country store and highland snack bar, beverage carts, guest services, cross country ski, Heights ski, highlands and valley courses, front desk, retail, reservations, spa, and salon, office services, timeshare, and accounting
  • Balance all cash, coupons, gift certificates, etc
  • Issue and log gratuities
  • Balance revenue received to bank report from machine and make required deposits
  • Generate revenue report daily, email to appropriate personnel
  • Over and shorted accounts to be adjusted and audited as necessary
  • Code where necessary and set up GL accounts
  • Responsible for general ledger and consolidated reporting
  • Collect all money from vending machines resort wide, sort, roll, and report
  • Count and balance money from outside vendor suppliers
  • Order coin from bank and arrange for pick up
  • Issue floats and balance
  • Maintain and balance cash office float

Executive Assistant

DUTIES:

  • Representation of the General Managers office
  • Provide confidential administrative support to the General Manager
  • Collaborates with Corporate office on confidential tasks regarding staff, legal matters, event planning, investment tours as required
  • Work with the senior executive team in a collaborative effort and provide support where needed
  • Screen and direct incoming calls providing a friendly and professional greeting, taking messages as appropriate, and eliciting necessary information to allow timely and accurate responses.  Respond where appropriate.
  • Greet clients, staff and visitors to the Executive Office
  • Maintain and coordinate schedules & calendars of the General Manager
  • Performs confidential tasks regarding staff issues, legal matters and strategic planning, maintains confidentiality at all times, establishes and maintains a confidential filing system
  • Screen and distribute incoming correspondence, responding directly or forward to appropriate staff
  • Preparation of business presentations.  This may include many highly sensitive documents, memos, contracts and proposals
  • Prepare agendas and background material for various executive meetings; collect reports from appropriate staff, ensure reports follow required format, record minutes, follow up on action items, and distribute accordingly to meeting participants.

QUALIFICATIONS REQUIRED:

  • Requires strong computer and internet research skills.  Essential computer skills required include strong user skill for Word, Excel, Outlook and PowerPoint.   
  • Flexibility to adapt to a fast paced and ever changing work environment, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.  
  • Excellent communication, interpersonal, organization and time management skills
  • Preference will be given to those holding a University or College degree in Business Administration and/or Human Resources.

Marketing & Communications Coordinator

Position Summary

Reporting to the Marketing Manager, the Marketing & Communications Coordinator will assist the sales and marketing team in achieving resort revenues by maximizing marketing, social media and public relations initiatives through a proactive supportive role in the sales and marketing team.

The Marketing and Communications efforts at the resort cover a wide range of areas including:  leisure hotel stays, conferences and meetings, golf, food & beverage, spa, recreation, and entertainment.  

Key Marketing Responsibilities:

  • Support the Marketing Manager specific to the resort’s website and ecommerce initiatives and opportunities:
    • Conduct resort website content updating, liaising with all departments to ensure accuracy of site information at all times
    • Update and keep current all internet listings with partnering sites (Tourism Barrie, Resorts Ontario, Ontario’s Lake Country, Ontario Tourism etc.) and sourcing new opportunities
    • Utilize ecommerce tools and platforms such as VFM Leonardo to maximize the effectiveness of digital channels
       
  • Support the Marketing Manager specific to the resort’s in-house, local and offline campaign requirements:
    • Support the development and coordination of collateral, advertising and selling tools as required, including but not limited to: Posters, power point presentations, promotional signage, collateral content and production, menu updating, newsletters, on hold messaging, creative messaging suggestions and campaign brainstorming
    • Co-ordinate and attend photo and video shoots as required
    • Photo library maintenance & photo request distribution

Key Communications Responsibilities:

  • Assist with social media and content to support the resort’s sales, marketing and public relations campaigns:
    • Generate, maintain and manage engaging content on social media and digital channels including but not limited to: Facebook, Twitter, Google+, Pinterest, Instagram, YouTube and Trip Advisor using HootSuite where appropriate
    • Grow the resort’s followers and engagement across all social media channels
    • Maintaining positive interaction with social media followers, ensuring queries and comments are responded to appropriately and in a timely manner
    • Grow social media presence through cross-promotions, sharing and contests, by mining and sourcing effective social media opportunities
    • Support social media content with candid photography and video of resort activities, food & beverage, special events or any other content-worthy subjects
    • Attend special events or activities as required to conduct as-it-happens social media engagement
  • Support the resort’s Public Relations needs and campaigns
    • Support corporate Public Relations with on-property needs for media visits including: media site visit report coordination, welcome letter, itinerary support, VIP cards and room deliveries
    • Support the co-ordination of public relation events such as remote broadcasts, press conferences, product launches or media events

Skills, Abilities & Attributes

  • Strong social media, verbal, written and inter-personal communication skills
  • Strong knowledge of social media applications and communication styles required
  • Engaging creative writing style and an eye for compelling photography and video
  • Knowledge and experience with website content management systems and html
  • Ability to follow brand graphic standards with knowledge and of Photoshop as asset
  • Strong knowledge of Microsoft office applications including Word and PowerPoint
